TAKE NOTICE that  an Extraordinary General Meeting
of the B.C. Fencing Association (BCFA) will be held on:

This Extraordinary General Meeting is being called to conduct new elections of the executive officers, with the consent of the present executive, pursuant to the motion of the BCFA Board at the Board of Directors meeting held on 20 March 2005. The elections will be conducted in accordance with the Meeting Rules adopted by the Board on 20 March 2005; a copy of the Meeting Rules is posted at .

There will be a discussion preceding the elections regarding the current executive.  Submissions related to this discussion will be posted to the website by April 10, and will be viewable further down this page.  You may wish to review these submissions and contact the parties directly if you have any questions or concerns about this discussion.

Registration for the Extraordinary General Meeting will be open from 10:00 am to 12:30 pm on the day of the Extraordinary General Meeting.  Please present yourself to the registration desk in order to receive your voting card and ballots.  Your name will be checked against the membership list.

To be eligible to vote, you must have your membership paid up (either $25 or $80) by 5:00 pm Tuesday 12 April 2005; please send  or deliver your membership payment along with a cover letter to BC Fencing Association (Memberships),  1367 West Broadway, Vancouver BC V6H 4A9; or optionally to BCFA (Memberships) c/o Matt Yun VP-Admin, 1802-1723 Alberni St, Vancouver BC  V6G 3G9.

Proxy Voting:  If you are unable to attend, please designate a proxy holder by completing the form enclosed.  A copy of the proxy form can also be printed from the  website. A proxy holder is someone that will vote on your behalf at the AGM, so choose this person carefully. Your proxy holder must be a member of the BCFA in good standing.   Members 18 years and under must have parent/guardian co-signature.  Keep a copy of your proxy form for your records.

Parents/Guardians that will be attending the Extraordinary General Meeting in person on behalf of their children:  please have your child complete a proxy form naming you as their proxy holder.  Since the proxy holder must also be a member in good standing, you should also sign up for a membership if you are not already a member.   If you and your child are not planning on attending, then you may name another member as the proxy holder.

Mail or deliver your original, signed proxy form to: BC Fencing Association (Proxy Forms), SportBC Building, 1367 West Broadway, Vancouver BC V6H 4A9; or optionally to BCFA (Proxy Forms) c/o Matt Yun VP-Admin, 1802-1723 Alberni St, Vancouver BC  V6G 3G9.  Your proxy form must be received by 5:00 pm, Tuesday 12 April 2005.

You may also electronically transmit a copy of your proxy form to:  BC Fencing Association Proxy Forms, (604) 738-7175; or by scanning and email to .  Your fax or email must be received by 5:00 pm, Tuesday 12 April 2005, AND you must provide your originally signed proxy form to your proxy holder to be presented at registration.

Please note, however, that if you choose to fax or email your proxy form, then you assume the risk that if there is an error in transmission or reception, your proxy vote may be invalidated.
